Please read thoroughly through these terms and conditions, it is the customers responsibility to read the following conditions before booking transportation with us, if you proceed with booking transportation with us you are agreeing to the following conditions. If you have any questions about the following terms and conditions, please contact us.
Care, Custody and Control insurance is provided by HHH Equine Transport up to a value of £10,000. Entering into a booking deems acceptance of this level of cover. We also advise that you insure your animal for transportation.
You are personally liable for your horse during transport. All horses and ponies must always have their passport with them when being transported. This is a legal requirement under the Horse Passports (England) Regulation 2004.
You are entirely liable to cover the cost of repairs if our box is damaged by your horse. You have the opportunity to inspect the vehicle before departure and agree any damage, as arguments will not be entered into later. Any damage will be repaired by a company chosen by us as the transport vehicle must meet the manufacturer's specifications. In addition to this, there will be a daily fee of £150 for loss of earnings for each day that we are off the road.
General wear & tear is acceptable & expected however any rips, tears, deep kick marks into the rubber matting or damage to the structure will be charged back to the owner.
The driver takes all reasonable precautions; however, in the event of an accident please note that you are personally liable for your horse in the event of injury or damage sustained to or by your horse.
The customer warrants that each equine in the consignment has been properly described when booking transport and does load and travel without concern. The customer will be as honest as possible about the horse’s previous experiences (good & especially bad) and if the transporter arrives and feels the need to refuse to transport a horse, has the right to do so and the pre-agreed cost for transport will be paid in full by the customer.
A time frame of 15 minutes will be given to load the horse, after this, a charge of £10 per half hour will be added. Whilst every effort will be made, In the rare event of the horse being incapable of being loaded, the full cost agreed for transport plus estimated waiting time will be paid in full by the customer.
If your horse becomes unsettled during transit, we reserve the right to sedate your horse and/or call out an emergency vet to sedate your horse if we deem the situation necessary. You will be liable for any veterinary expenses.
All bookings must be made by an adult over the age of 18. Any bookings made for a under 18 must have a parent or guardian with them at all times. Customers are more than welcome to travel in the cab of the vehicle but should be aware they do so entirely at their own risk.
Liability is not accepted for loss of entry fees or any other related expenses in the event of delayed or cancelled journeys for any reason.
If you are unable to provide a haynet for your horse, please let us know in advance so we can at an additional cost.
Our box is cleaned and disinfected after every horse, however when the horse is at their destination, our driver can remove droppings at this venue to help stop any spread of disease bringing this back to my horses.
Loading & travelling your horse
Please ensure there is a flat & level surface ready for us to load your horse. Uneven surfaces can make the ramp feel wobbly to the horses & sometimes have a negative impact on safe loading.
Please ensure there is ample room for us to turn our lorry around on arrival.
It is the owner’s responsibility to have the horse in correct travel gear. We cannot guarantee to always be able to lend equipment.
If we are collecting a horse from a seller (someone on your behalf) please ensure they are aware of the collection time, any delay on them preparing your horse for travel will be subject to our waiting charge policy (£10 per 30 mins waiting charge).
Booking policy - how to book
We require a 50% deposit of the total amount quoted for transport to secure your booking. This will be non-refundable and taken off the overall cost for transport on the day. Unfortunately until the deposit is received we cannot guarantee your booking.
The remainder balance is to be paid in cash on the day or via BACS at least 24 hours before the journey commences to ensure funds have been received. For jobs exceeding a quote of £200 full payment must be secured before the journey commences via BACS. In cases where the transporter is required to wait at an event for the return transfer a waiting fee will be applied on the day at £12.50 per hour, this must be paid before the return transfer by cash or BACS.
Additional Charges
Please note that any Tolls or Clean Air Clear Air Charges will be charged back to client after transport. When booking we cannot always add these into the estimated prices but will be charged out separately.
Late Payment Fees
If invoiced after transit (ie. Emergency runs) or if it is agreed payment can be made after drop off we allow 2 days for payment to be received. Please note that any late payments after the 2 days will incur a late payment fee of £10 per day until invoice is paid.
Fuel Charges
For bookings that are several weeks or months in advance, there may be a price increase in your original quote, this will be discussed with you before completing transport.
Extreme weather conditions: Snow / Ice / Flooding etc.
In the interest of your horses safety and ours, the lorry does not go out in snow or icy conditions. In any case of severe weather your booking shall be transferred to another date.
Cancellation policy
Cancellations made 2 week or less before the date of transport will be charged a cancellation fee of the full transport cost. Cancellations made after receiving the deposit but before 2 week cut off will be charged a cancellation fee of your deposit.
Moving / transfer of date
If you need to move your booking we require a minimum of two weeks notice and is also subject to a £30 admin charge for a change of date. In extreme circumstances we may waiver that fee.
If you wish to change your date after this time unfortunately this will be classed as a cancellation and you will lose your deposit.
Where possible we will try to move the transport date to another time. Dates can only be moved once. After this a new booking must be made.
Out of hours
Our standard operating hours are Monday – Sunday: 8am – 6pm, call outs outside of these times will incur a £35 OFH call out fee.
